The Phased Approach

It’s most ideal to slice up business system implementations into five primary phases — each with a clear and concise purpose. This maximizes focus and minimizes distractions that can unnecessarily derail or delay your project. The goal is ultimately to create the exact business sytems you require and a carefully laid out plan is meant to ahieve just that.

Exploration

Phase Objective: Find a solution that fits the need

Process: You’re likely exploring some of your options to tackle this project. And that’s great! You’re either excited by this prospect or overwhelmed, but not to worry, we’re here to help make it easy for you. We typically begin by working to define your desired results and goal(s) — essentially what you hope to gain from this initiative. We then dig into the business systems & processes you have in place, their current state, and what your thoughts and plans are with each. Based upon this information, we will lay out fitting options, ones that are easy to understand, to consider and how to move forward from there.

Planning

Phase Objective: Lay out a clear roadmap to execute

Process: Creating a comprehensive plan is arguably the most critical part of any system implementation. It ensures everyone stays on task and within budget. By laying a solid foundation, you ensure your systems are properly built out to your specification. The planning phase delves deeply into the details — defining key stakeholder roles & responsibilities, timelines, budgets, scope, and every aspect of system form, function, and features — this creates a reliable roadmap you can count on throughout the implementation process. It’s so important to get the documented plan as close to what the final product should be, and we’ll be sure to get you there.

Development

Phase Objective: Build out the systems, according to the plan

Process: Here’s where you get to begin seeing the things you and your team have talked about for so long become a reality! This phase moves quickly and everyone is fully engaged. Little tweaks to the plan may come up as you see things begin to shape up, which might require an approved change order. Not due to poor planning or anything, it’s simply because you and/or folks on your team will likely begin to think differently now that they are seeing what they’ll soon have their hands on — it’s totally normal and since there’s consistent touch-base meetings, any needed changes can be addressed immediately. Data cleanup, system integrations, sales/business processes, automations, programming & coding — this is the where the backend and frontend pieces are worked through to produce the fully-customized, game-changing systems. You’ll have your “champions” (one of the roles we defined in the previous phase) provide you with feedback after experiencing these new tools as this phase progresses, ensuring the established plan makes as much sense in reality as it does on paper.

Implementation

Phase Objective: Launch the developed systems

Process: Launch day has arrived! This day is often electric. For us, it’s exciting and energizing. For you, likely nerve-wracking but also exciting. Your team who’s heard about this and/or seen glimpses of the systems are either worried about what’s coming or, on-theme, excited about the possibilities. Our goal here is to work with you to successfully launch your freshly-minted system(s) to your team in a way that ensures it’s as seamless as possible. Questions to field, training to take place, and unfiltered ideas and/or feedback are often what accompany this day. Day-one system patches are possible, but at this point and due to the way the development phase is structured, everything should be working as intended. The implementation phase also blends perfectly into the training & support phase.

Training & Support

Phase Objective: Maximizing understanding of the system and further development & maintenance

Process: During the previous phase, you introduced the sparkly new systems to your people. It’s a big day! This phase, Training & support, is a piece of the implementation process. Training materials will have already been prepared for you and your team that define key aspects of the new software, how to use each piece, and what the process looks like for suggestions and further support. You will also be provided with documentation regading the system, just at a higher level. You and your team will be provided with system support for a period of time, that’s agreed upon early on in the implementation process. Here, we can make changes to your systems, provide technical support, and hands-on training sessions.


The Inspiration Loop

There are some things to consider now that you’ve got your brilliant new system in place. First is incredibly important — system maintainence. Your business evolves and it’s important your systems do along with it. Second, and even more daunting and hard to control — inspiration! It’s super common to have a ton of new ideas for additional features, changes you want made, and some important considerations you hadn’t thought of before now. You’ll likely also have plenty of feedback provided to you from your team to consider. This is especially true of things like automation and AI. Once you see it become a proven entity, it’s challenging to ignore the possibilities. Expanding upon the solid foundation you diligently laid out with this system typically follows the same phased-approach as before, just on a much more condensed scale.
