Working with Dynamics 365 Sales for years has been an amazing experience. From the getting key personnel in a room to to eventually land on the best CRM for us and discuss how we should build this thing, experiencing the mostly inevitable shock at how inefficient we’ve been, on through to the planning phase, eventually the exciting launch day, and acting on some great new ideas for further enhancements & revisions — it’s always very exciting to see how each team and organization takes this and moulds it to the exact tool they’ve been desperate for all this time. When the “shiny new thing” effect wears off, it is morphed into a critical piece to your organization that allows you to operate at such a higher level with so much less mystery. This can be especially crucial when you are managing or overseeing a sales team or organization. There are so many deals and stakholders — so many moving pieces that it can become overwhelming rather quickly without an easy way to keep track of it all. This is as true for the Director as it is for the boots-on-the-ground rep.
Dynamics 365 Sales was built with sales teams in mind but the wonderful thing about this system is it can be turned into most anything you wish it to be. The possibilities are mostly limited to your team’s own imagination. That said, for those organizations that receive, foster, and convert leads and prospects, you can build out a unified process that your team MUST follow in order to move forward with any deal. That uniformity provides consistency, accountability, structure, and control. Being a sales person is an incredible thing, each with their own “flavor” and overall approach, but sometimes having so many people “doing things their way” can actually harm an organization in the long run. Like any business set up to scale, having processes that are established and documented ensures your newest sales member can operate in the same way your more seasoned pro does simply by working through your customized Dynamics 365 Sales CRM system.

So, if this is your first CRM, what’s the process look like for getting something like this in place? There are four major milestones. Plan, develop, launch, and maintenance. Of the four, I’d argue that the Planning Phase is the absolute most important part. This is a crucial piece but also a rather interesting piece to be a part of. Working through the business and asking questions not normally thought about can open the door for real introspection and growth, as an organization, especially if there are a handful of people involved. Here, we learn to filter out the noise and establish your needs and wants, who will be responsible for what, what the expected timeline is, and the estimated costs involved from start to finish. Once we’ve worked out the details, we move on through the development phase. This is also a critical piece, as you begin to see your ideas come to fruition and your sales reps try to peak over your shoulder to get a glimpse of what’s coming. There’s a handful of milestones where we regroup, but up next is launch day. This day is where you get to reveal the new platform to your team. This usually goes one of a handful of ways. One, everyone is psyched and can’t wait to start using it. Two, nobody understands how to turn on their computer. Or three, a combination of the two. I’ve mostly seen the third way be the case but that’s perfectly normal as there’s bound to be diverse levels of experience with technology. But that’s where trainings (and a little empathy) come into play. The “last” piece involves the maintenance and enhancement of the platform. This one is inevitable as you and your team begin to think differently now that you have this powerful tool at your disposal. Maybe you’d rather this process be changed or you’d like this piece automated, or maybe you want to integrate some other features or tools you built in Microsoft 365. This whole implementation process will be worked out and each step accounted for from Day One so you know what to expect moving forward.
